Setting forth the terms by which The Grand Ballroom shall host the wedding reception described herein on the twelfth of September, two thousand twenty-six.
This Agreement is entered into between The Grand Ballroom LLC (the "Venue") and Eleanor Whitfield & Thomas Brennan (the "Clients"), and governs the rental of the Venue's Main Hall and attached Garden Terrace for the purpose of a private wedding reception. The parties agree to the provisions below in full.
The Venue grants the Clients exclusive use of the Main Hall and Garden Terrace for an eight (8) hour rental period, including all guest-facing event time. Vendor load-in may begin three (3) hours prior to guest arrival at no additional charge; load-out must be completed within ninety (90) minutes of the published end time.
All food and beverage service shall be provided exclusively through the Venue's in-house culinary team. The Clients agree to a minimum food and beverage spend of $15,000.00 (exclusive of service charge and sales tax). Should actual consumption fall below this threshold, the difference shall be charged as a room minimum fee.
A 22% service charge and applicable state and local taxes will be applied to the final invoice. Final menu selections and guaranteed guest count are due no fewer than fourteen (14) days prior to the event date.
To reserve the date, the Clients shall remit a non-refundable deposit of $5,000.00 upon execution of this Agreement. The deposit secures the date exclusively and is applied against the final balance. Fifty percent (50%) of the estimated balance is due ninety (90) days prior to the event; the remaining balance is due fourteen (14) days prior.
The Clients may cancel this Agreement in writing. Refunds of monies paid beyond the non-refundable deposit shall be issued according to the schedule below, calculated from the event date.

The Clients agree to conduct the event in a lawful and orderly manner and shall be responsible for the conduct of their guests and vendors. The Clients shall obtain event liability insurance of not less than $1,000,000 naming The Grand Ballroom LLC as additionally insured, with proof delivered no later than thirty (30) days before the event.
The Venue shall not be liable for any loss, damage, or injury except where resulting from its own gross negligence. Force majeure events, including but not limited to natural disasters and governmental orders, shall entitle the parties to reschedule in good faith without penalty.
The parties below, having read and understood the foregoing, execute this Agreement as of the date last signed.
