This letter serves as a formal written warning regarding conduct that directly contravenes Sections 7.4 (External Communications) and 4.2 (Handling of Confidential Information) of the Halden Dynamics Employee Handbook.

Summary of the Incident

On the evening of 6 November 2025, you published a post to your personal LinkedIn profile which included a screenshot of the internal Q1–Q3 2026 product roadmap presented at the All-Hands meeting on 4 November. The image clearly displayed unreleased feature names, projected launch windows, and a draft pricing tier not yet approved for external disclosure.

The post remained publicly visible for approximately nine hours, generating 312 reactions and 47 comments before being removed at the request of the Communications team. Two trade publications referenced the image prior to removal.

Why This Matters

Product roadmap material is classified Internal — Restricted under our data handling framework. Its premature release compromises competitive positioning, undermines coordinated go-to-market planning, and places the company at risk of inaccurate reporting by external parties. It also erodes the trust that allows us to share candid information across the organisation.

We accept that the post was made with enthusiasm for the work, not malice. That context informs the level of this warning, but does not alter the breach itself.

Required Actions

  • Mandatory retraining. Complete the "Confidentiality & Public Communications" module via Learning Hub by 28 November 2025. Estimated time: 90 minutes.
  • Acknowledgement session. Attend a 30-minute review with your manager, Elena Whitford, and an HR partner within 10 business days.
  • Content review. Any public post referencing Halden Dynamics products or roadmap must be pre-cleared by the Communications team for the next six months.
  • Policy re-acknowledgement. Countersign the updated Social Media Policy (v3.1), attached as Appendix A to this letter.

Consequences of Further Breach

This is a first and formal written warning. It will be retained in your personnel file for twelve months from the date of issue. Any further breach of Sections 4.2 or 7.4 during this period will escalate to a Final Written Warning and may result in termination of employment in accordance with Policy §9. Following twelve months of compliance, this notice will be archived and will not affect promotion or review decisions.

Your Right of Reply

You may submit a written response to this warning within 10 business days of receipt. Responses should be addressed to the Head of People Operations and will be filed alongside this notice. You may also request a review meeting with an HR partner not involved in the original investigation.
