How to Generate Certificates From a Spreadsheet

If you have a list of people who earned a certificate — a class roster, a training-completion export, an attendee list — you already have everything a bulk certificate generator needs. The workflow is mail merge, minus the mail-merge ceremony: one design, one spreadsheet, one batch of personalized PDFs.

Step 1 — Design the certificate once

Start in the AI certificate maker and describe the certificate: the occasion, your organization, who signs it, your colors and logo. You get a print-ready design in about 30 seconds. Step 2 — Prepare your spreadsheet

One row per recipient, one column per detail you want on the certificate. A typical training-program sheet:

Excel (.xlsx) and CSV files both work, and a Google Sheets export is just a CSV — nothing to reformat. The optional _email_to column tells EZdoc to email each finished certificate to that person automatically.

Step 3 — Upload and generate the batch

Upload the spreadsheet and EZdoc reads the headers, maps each column into the design, and renders every certificate in parallel. Two hundred certificates take about four minutes; five hundred take about eight. You get one print-ready PDF per row in a single ZIP — or, with an email column, each certificate lands in the right inbox on its own. From Excel, Google Sheets, or any export

Any tool that can export a spreadsheet works: Excel, Google Sheets, Airtable, your LMS, your ticketing platform, a registrar's system. If your data lives in Google Sheets and stays there, you can connect the sheet directly and skip the export step — the next batch picks up the latest rows. Why not Word mail merge or Canva?

Word's mail merge can produce certificates from a spreadsheet, but the setup is notoriously fiddly — field codes, linked data sources, layout shifts between machines — and the output is only as good as the Word design underneath it. Canva makes beautiful single certificates but has no bulk merge: five hundred names means five hundred hand-edits.
