How to Create Professional Certificates (One or One Thousand)

Certificates mark milestones — a graduation, a completed training, a year of volunteer service. They turn intangible accomplishments into something framed on a wall or saved as a PDF in someone's "proud moments" folder. Get the design right and recipients display it. Get it wrong and it ends up in a drawer. The hard part is rarely designing one certificate. The hard part is generating fifty, two hundred, or five thousand of them — one for every member of a graduating class, every employee who finished compliance training, every kid in a kindergarten ceremony — without misspelling a name, forgetting a date, or spending three days copying-and-pasting in Word.

What Belongs on Every Certificate

A frame-worthy certificate is more restraint than ornament. The essentials:
  • Recipient name in the largest type, centered. This is the part the recipient looks at.
  • What the certificate is for — "Certificate of Graduation," "Certificate of Completion," "Certificate of Achievement." Be specific.
  • The organization or institution awarding it. School, company, training program — whoever has the authority to issue it.
  • The program, course, or occasion ("Bachelor of Science in Computer Science," "2026 Project Management Bootcamp," "5K Run for the Cure Volunteer").
  • The date of issue.
  • One or two signature lines with a printed name and title under each. The signature itself should be in script — EZdoc renders this in Great Vibes by default, sized to feel hand-drawn.
  • Your logo, placed at the top. This is what makes the certificate yours.

Generating One Certificate Fast

For a single certificate, you describe what you need. Example:
"Certificate of Graduation for Maria Rodriguez, Bachelor of Science in Mechanical Engineering, conferred by [Your University Name] on May 22, 2026, signed by your President and Dean. School colors are red (#E03A3E) and gold (#FFD520). Use the school logo at the top."
EZdoc returns a print-ready PDF in roughly 30 seconds. If something needs adjustment — bigger name, different border, lighter accent — you tell the AI in follow-up text and it iterates.

Generating 500 Certificates From a Spreadsheet (the Real Reason People Are Here)

The bulk-merge flow is what separates EZdoc from design tools. Pick or generate a certificate template once, upload a CSV with one row per recipient, and produce every personalized certificate in a single batch. A typical certificate CSV:
recipient_name,degree,date,honors,_email_to
Maria Rodriguez,BS in Mechanical Engineering,May 22 2026,Magna Cum Laude,[email protected]
James O'Connor,BA in History,May 22 2026,,[email protected]
Aisha Patel,BS in Computer Science,May 22 2026,Summa Cum Laude,[email protected]
...
The optional _email_to column tells EZdoc to email each finished certificate to the matching recipient automatically — no manual sending. 500 rows produces 500 personalized PDFs in about 8 minutes, zipped for download or delivered straight to inboxes.

Designing for Frames and Print

Most certificates end up framed. Designing for that means:
  • Standard letter (8.5 × 11) or A4 in landscape — fits every off-the-shelf frame at office stores.
  • Generous margins — at least 0.75 inches all around so the frame doesn't crop the border.
  • Print on heavier paper — 80lb cardstock or higher feels substantial. Standard 20lb paper feels disposable.
  • Avoid full-bleed backgrounds on home printers — most can't print to the edge of the paper. Light-colored or white backgrounds with a contained border print cleaner.

For Schools, Trainers, and Course Creators

If you regularly issue certificates — every graduating class, every completed cohort, every quarterly compliance training — save your design as a reusable template. Set the field placeholders (recipient name, date, program) once, then swap in a fresh CSV every term. The same design, refreshed with the new batch, takes one upload instead of one redesign. We have a dedicated page for college and university registrars that walks through bulk certificate generation from a registrar export.

Frequently asked

Questions, answered plainly

How do I print 200 graduation certificates at once?

Upload a CSV with each recipient's name (and any custom fields like degree or honors). EZdoc generates a personalized PDF for every row in one batch — typically 200 certificates in about 4 minutes — and zips them up for download. You can also auto-email each one if you add an email column.

Can I use my school's or company's logo and colors?

Yes. Upload your logo (SVG or image) and tell the AI your brand colors. It threads them through borders, accents, and signature lines. Save the design as a template and reuse for every future ceremony or training class.

Will it work for kindergarten and preschool graduation certificates?

Yes — and we have a dedicated guide for it. The AI happily handles warmer, more playful designs (rainbow accents, rounded fonts, sticker-style elements) for early-childhood ceremonies, while still keeping the layout print-ready.

What types of certificates can I create?

Graduation (high school, college, masters, MBA, PhD), completion (training, courses, bootcamps), achievement, attendance, appreciation, participation, internship, volunteer recognition, and continuing-education credits. If you can describe the occasion, the AI can design it.

Can I email each certificate directly to the recipient?

Yes. Add a column called _email_to to your spreadsheet. After generation, EZdoc emails each personalized certificate to the matching recipient. Available on Starter and above.

Do I need design skills?

No. You describe the certificate in plain English ("completion certificate for our 2026 product management bootcamp, signed by the program director and CEO, with our logo at the top"). The AI handles typography, spacing, color, and signature placement.

What size paper / can I frame it?

Output is a print-ready PDF sized for standard letter (8.5 × 11 in) or A4 paper, in landscape orientation. Both fit standard certificate frames. You can also print on heavier cardstock for a higher-quality feel.

How fast can I generate 500 certificates?

About 8 minutes for 500 certificates from a CSV upload. Larger batches scale linearly — 5,000 takes around 80 minutes. The Scale plan supports up to 20,000 pages per month with concurrent processing.

Is there a free option?

Yes. Free accounts include 3 AI generations to test the design quality. After that, single certificates start at $5 for 4 credits, or paid plans (from $19/month) include 8+ AI generations every month plus unlimited bulk merges.

What's the difference vs Canva?

Canva is a design tool — you drag elements onto a canvas yourself. EZdoc is a document tool — you describe what you need and get a finished PDF. The bigger difference: Canva can't bulk-merge. We can take a CSV with 500 names and produce 500 personalized certificates automatically. With Canva, you'd be hand-editing each one.

Does it work with Google Sheets?

Yes. Connect your Google Sheets account once, then point EZdoc at any sheet to bulk-generate certificates from it — no CSV export step. Updates to the sheet flow through to the next batch.

What about diplomas vs certificates?

Diplomas are a specific type of certificate — typically formal, larger format (often 11 × 14 in or larger), and tied to a degree. The AI handles diplomas the same way: describe the institution, degree, recipient, and date, and it produces a formal layout suitable for framing. Schools regularly use EZdoc for both ceremony certificates and the actual diploma.
